Inside Brightspot: The Easiest Way to Add “Things” to the CMS

It’s not just how Brightspot works but why its features were engineered the way they were. Not one to keep secrets, we’re sharing her insights with you here, in a weekly column called “The Whys.” From creating vanity URLs to knowing the difference between a document and an attachment, these posts answer the questions anyone who publishes digital content has likely pondered.

I covered the Workstream Widget in my last update, which means I’ve covered about 2% of what you need to know about Brightspot Widgets. Today I want to tackle one of the easiest ones: the Upload Widget.

The Upload Widget makes it easy for users to add things such as images, videos, documents, spreadsheets, presentations, audio files, etc. to Brightspot right from the Dashboard. (The widget was formerly called Bulk Upload, but we dropped the “Bulk” in its name in the Brightspot 4.0 UI because you can, after all, upload things one at a time. We didn’t want anyone to think that it wasonly for bulk uploading.)

As a user, you have choices when it comes to how you get things to the Upload folder. You can click on “select” in the text of the widget, which lets you navigate the folder structure of your computer to locate the file(s) or folder you want to upload.

You can also just drag and drop items from your desktop into the widget. (Fun fact: You don't actually have to drag things directly onto the Upload widget itself—dragging anywhere onto the dashboard will activate the upload behavior.)

Once you've dragged or selected the files in question, you'll see an overlay. At first, the overlay shows a square with a red circle in it that grows to completion as the files process. Once the red circles reach 100%, you'll see a preview of the files themselves. This means your files are ready for upload.

Before you upload, remember that you can also apply metadata to the files at this stage. Let's say you're uploading two PDFs and two images; the upload overlay will show you a tab that will say Document (2) and Image (2). You can apply metadata (tags, for instance) to the Documents, and then another set of metadata to the Images. When you’re uploading, remember these two things:

1. This action is bulk. The metadata you're adding here is going to get added to all the files. It's likely that things such as tags, or credit, or source, will be common to the images. Certain things, however, will not—like the caption on images or the description on files. So use the upload appropriately.

2. Don't forget about tabs. The metadata you can add here is not just what's on the Main tab. If you want to add SEO to images on upload, that tab is present and waiting for your attention. You’re not restricted just to what's on Main.

Once you click Upload, your files will process, and you'll be delivered to a full-screen search view. From here you can take additional actions on your uploads—like, say, create a workstream!
